Tours to Norway Coordinator

Vesterheim seeks a part-time, 30 hours/week, Tours to Norway Coordinator who is responsible for designing, implementing, and promoting Vesterheim’s yearly tours to Norway. The Tours to Norway Coordinator works to ensure that all participants in Vesterheim’s tours receive a high-quality experience in all written, interpersonal, and group interactions with the institution.

Reports to: President/CEO

Minimum requirements: An associate degree or relevant work experience. The ideal candidate will be a self-starter with strong customer service experience, exceptional oral and written communication skills, experience in Microsoft Office products, and an aptitude for organization and research.

Specific responsibilities include:

  • Organize a yearly strategic planning session for tours with key individuals selected in consultation with the VP of Finance and Operations/CFO and President/CEO. This planning session will include brainstorming for tours 3+ years out, a review of the tour itinerary and promotion plans selected for 2 years out, and a review of the status of tours selected for the next year. The tour strategic plan (which includes specific details and pricing information for the next year’s tours) is approved on a yearly basis first by the VP of Finance and Operations/CFO and then the President/CEO as a part of the budgeting process.
  • Implement and evaluate tour program: work with Vesterheim Communications and Marketing team for promotion of tours through publications, advertising, and events; service potential and actual tour participants; arrange logistics with travel agents, hotels, etc.; provide support and training for tour leaders as needed. Create and implement an evaluation of each tour, using a format approved by the VP of Finance and Operations/CFO and President/CEO.
  • Promote Vesterheim’s mission through the tour program by ensuring that each of the tours is uniquely connected with Vesterheim through the Vesterheim branded materials the participants receive, the educational content presented by the tour leaders, and the follow-up activities.
  • Tours to Norway: maintain databases; manage correspondence with prospects and participants; work with other staff and volunteers to develop new tours; work with Vesterheim Communications and Marketing team to develop publicity and market tours; evaluate completed tours.
