Vesterheim seeks a detail-oriented and proactive Human Resources Administrator. The Human Resources Administrator plans, coordinates, and directs all employee relations activities including staffing, payroll, hiring, legal compliance, and benefit administration. The role combines human resources management with essential payroll accounting tasks to support the institution. This onsite position is a full-time, exempt position with the possibility of remote work part of the time. The ideal candidate will have a strong background in HR practices and basic accounting principles. Salary range: $52,000 – $57,000
Reports to: Chief Financial Officer
Minimum requirements: Associate’s degree in human resource management, business administration, or related field, Bachelor’s preferred. Five or more years of related experience required.
Duties and Responsibilities:
- Maintain payroll records and process bi-weekly payroll, including running reports, preparation and submission of Federal and IA state taxes, payment of 403(b) retirement contributions, health savings account contributions, and dental and life insurance statements.
- Facilitate and support organization staff in recruiting and interviewing processes, posting job ads, screening resumes, and counseling staff on candidate selection.
- Coordinate onboarding and orientation of new employees.
- Maintain the work structure by updating job requirements and keep a job description library for all positions.
- Conduct and analyze exit interviews and recommend changes.
- Manage a salary structure by conducting research and periodic pay surveys.
- Prepare salary budgets.
- Ensure planning, monitoring, and appraisal of employee work results by facilitating a performance evaluation process, training managers to coach and discipline employees. Support employee development initiatives.
- Administer employee benefits programs, process and submit benefit enrollments and changes, and handle related inquiries.
- Address employee relations issues and provide guidance using best HR practices.
- Ensure legal compliance by monitoring and implementing applicable federal and state requirements, laws, and regulations.
- Enforce legal and institutional guidelines by preparing, updating, and recommending human resource policies and procedures.
- Experience in conflict management. Ability to handle and resolve conflicts fairly and efficiently.
- Has cultural awareness and sensitivity, understanding and respecting diverse backgrounds, and fostering an inclusive workplace.
- Maintain a positive work environment.
- Prepare and submit required reports quarterly and process W-2s at year-end.
- Maintain employee personnel files and retain historical human resource records.
- Perform accounting duties as assigned by CFO.
- Other duties as assigned.
Job Knowledge, Skills, and Abilities
- Proven experience in HR administration and basic accounting
- Strong understanding of HR practices and principles and employment laws
- Proficiency in payroll and accounting software and Microsoft 365
- Excellent organizational and multitasking skills
- Strong attention to detail and problem-solving abilities
- Effective communication and interpersonal skills
- Ability to handle sensitive and confidential information with discretion
